Amplexor develops for the Flemish Parliament a records management system based on Alfresco

Leuven, February 2009 – Amplexor, a specialist in enterprise content management (ECM), has developed for the Flemish Parliament a records management system based on the Alfresco open source ECM system. With this system, all types of records at the Flemish Parliament – whether digital or not – are easily accessible and made available to authorised users.

The Flemish Parliament’s archives are made up of various types of media. Besides an extensive collection of digital and non-digital written sources, they include photos, plans, audiotapes and videotapes.

Thanks to the system’s user-friendly interface, those in charge of managing files can add metadata, either automatically or not, to e-mails, files and records, and place them in the system. The ECM system carries out the technical and content checks necessary before collecting all the information in the archives. Audio and video files can also be recorded in the archives.

Alfresco software automates the different tasks for managing archives. It is perfectly suited to the future-proof and safe storage of metadata and archives.

With this Alfresco software, authorised users can find and access archived multimedia records and files both quickly and easily. The main search tools are full text search (of metadata and text) and intuitive browsing of the archives’ structure.

Amplexor is responsible for installing the necessary software and equipment in the Flemish Parliament’s buildings, as well as integration with the existing ICT architecture. Berthold Ballet, Account Manager at Amplexor, says: “Nowadays, archiving must ensure that the various management tasks for archives are compatible with safe and future-proof storage. It must also guarantee the sustainability, authenticity and integrity of archived digital items and metadata – tasks that are not trivial, due to the fast-evolving ICT sector. Through this project, Amplexor has prepared the ground for the concept of ‘digital sustainability’. In other words, the permanent accessibility of digital material in an ordered way until the time when it may be destroyed on the basis of fixed criteria.”
